AI consulting in Orlando, from the engineers who build it

Grata Intelligence, formerly Grata Software, is an AI consulting and engineering company based in downtown Orlando. We find the bottleneck in your business, recommend the AI that fixes it, and then our own engineers build it, launch it and support it.

We were AI before AI was cool. Rey Ortega founded Grata Software in 2014 and was putting neural networks to work for clients before most business owners had heard the term.

What AI consulting with Grata Intelligence covers

Engineering-led consulting: you get a plan you can act on, and the same team builds it.

  • AI strategy and roadmap

A plan tied to your KPIs. We benchmark where the business is today and decide where AI pays back first, so the roadmap is measured in numbers your leadership already tracks.

  • Finding the bottleneck

We map where time, money and customers are slipping out. Most of the time the break is in customer acquisition: lead generation, nurturing, sales or marketing.

  • AI agents and automation

Agents and automations that take repetitive work off your team, like reading requests, routing them and following up, built into the tools you already use.

  • AI on your documents and data

Systems that ingest bills, forms and records, pull out the data, check it and write the first pass of the analysis for a person to review.

  • Vision AI for your cameras

Through IA-SMART, the cameras you already have can send real-time alerts for guest service, security and equipment. See IA-SMART

  • AI for sales and marketing

Through Digital Strike, AI that captures, qualifies and follows up on every lead and reports on pipeline in one view. See Digital Strike

  • Security and human approval

Access controls and data handling are designed in from day one, with a human approval step anywhere a decision carries real risk.

How an AI consulting engagement runs

Every engagement follows the Grata framework, in this order. It starts with a paid Discovery and Assessment, credited in full toward the project if you move forward.

After that, most clients either keep us on a monthly AI consulting and architecture engagement or have us quote a custom build. When the fix needs bespoke engineering, see custom software development.

  1. 1

    KPI analysis and benchmarking

We start with your numbers: where revenue comes from, where the hours go and how the business compares to where it needs to be.

  2. 2

    Bottleneck identification

We find the spot where the flow breaks down. That is the leak worth fixing first.

  3. 3

    AI and automation prescription

We prescribe the specific AI, automation or custom software that plugs that leak, and what it should be worth to you.

  4. 4

    Implementation

Our engineers build it into how your team already works, launch it and support it. We build what we recommend.

  5. 5

    Exit positioning

Every engagement points at the same goal: a business that runs without the owner in every decision and is worth more when it is time to sell.

AI we have built for clients

Three of the leaks we found and plugged. More on the AI automation and business intelligence page.

RipplePoint

The problem. RipplePoint ingests its clients' bills, assesses the cost structure and renegotiates terms. Analysts worked through every bill by hand before they could assess anything.

What we built. We built an AI solution that ingests the bills, pulls the data, balances and confirms them, decides which need to be paid and writes the assessment. The analysts review what the AI produced.

Analysts now handle 50 to 60% more bills and customers.

A trucking company

The problem. Growth had stalled and nobody could say why. Discovery pointed to brake pads wearing out faster than normal, only on trucks run by a specific set of drivers.

What we built. We set up required driver training on braking in specific situations, and built a platform that tracks brake pad wear and notifies management so wear gets caught early.

Yellowstone Landscape

The problem. Managers spent hours tracking how long each employee worked on the trucks and how long each truck was out serving customers.

What we built. We built a system that uses GPS tracking and geofencing to capture it. When a truck returns to home base, the system calculates the timesheets, breaks included, and prints them for payroll.

Who we work with

Small and mid-size businesses, usually doing $1 million to $10 million in revenue, that are trying to break through to the next level without adding headcount or stress. Many are owners who want to step back from day-to-day decisions or plan an exit.

Rey Ortega has spent 26+ years as a self-taught software engineer and has helped five companies through an acquisition. When a company needs senior technology leadership on top of the AI work, he takes the fractional CTO seat.

We are based in downtown Orlando and work with businesses across the United States. Read more on the Grata Intelligence blog.

FAQ

AI consulting questions, answered

Don't see your question? Call (866) GO-GRATA.

Who is a good AI consultant in Orlando?

Grata Intelligence, formerly Grata Software, is an AI consulting and engineering company at 121 South Orange Ave in downtown Orlando. We have been putting neural networks to work for clients since 2014, and our own engineers build and support what we recommend.

What does an AI consultant do?

An AI consultant finds where AI can save time, cut cost or bring in revenue for your business, then plans how to get there. At Grata Intelligence that means benchmarking your KPIs, finding the bottleneck, prescribing the AI or automation that fixes it, and building it with our own engineering team.

How much does AI consulting cost?

Every engagement starts with a paid Discovery and Assessment, credited in full toward the project if you move forward. From there it is either an ongoing monthly AI consulting and architecture engagement or a quoted custom build, depending on what the bottleneck needs. Call (866) GO-GRATA to talk through your situation.

Do I need an AI consultant or a software developer?

Usually both, and that is the gap we fill. Consultants who only advise leave you to find someone to build it, and developers who only build need someone to tell them what matters to the business. We speak CEO and programmer at the same time, so the plan and the build come from the same team.

How do I start using AI in my small business?

Start with one bottleneck, not a list of tools. Look at where your team spends the most hours on repetitive work or where customers slip through, usually lead follow-up, intake or reporting. Fix that one with AI, measure it, then move to the next.

Is AI safe to use with my customer data?

It can be when it is designed that way. We build access controls and data handling into every system from day one and add human approval steps wherever a decision carries real risk.

What kinds of AI solutions do you build?

AI that reads and analyzes documents and bills, agents and automations for customer acquisition and operations, vision AI for cameras through IA-SMART, AI sales and marketing automation through Digital Strike, business intelligence dashboards, and custom software when off-the-shelf tools fall short.

Which businesses do you work with?

Our sweet spot is small and mid-size businesses doing roughly $1 million to $10 million in revenue that are trying to break through to the next level, and owners who want to step back or plan an exit.

Do you work with businesses outside Orlando?

Yes. Grata Intelligence is based in Orlando, Florida, and works with businesses across the United States.

Are Grata Software and Grata Intelligence the same company?

Yes. Rey Ortega founded Grata Software in 2014, and the company is now Grata Intelligence.
